Buying bed linen in bulk for a hotel, hostel or hospital: a checklist

If you run a hotel, guest house, hostel or hospital, bed linen is a regular cost. Buying in bulk saves money and time, but only if you buy the right thing. A wrong size or a fabric that does not stand up to frequent washing can cost you more later. This checklist covers the main points to think about before you place a bulk order.

1. Measure your beds, room by room

Do not assume all your beds are the same. Many properties have a mix of single, double and larger beds. Hostels often have single beds. Hospitals usually have narrow beds, so check your bed size before you order.

  • Walk through each room and note the mattress length, width and thickness.
  • Group beds by size and write down how many you have of each.
  • Allow extra fabric for tucking, especially on thicker mattresses.

You can compare your measurements with our bedsheet size chart or read the bedsheet size guide.

2. Work out how many sheets you need

A common way to count is:

Number of beds x number of sets in rotation = total sheets

Many places keep 3 sets per bed:

  • one on the bed,
  • one in the wash,
  • one spare on the shelf.

So a guest house with 20 double beds would need about 60 double sheets. Busy hospitals or places with daily changes may want a few more spares. Also count pillow covers separately, based on the number of pillows per bed.

3. Ask for a sample before you order

Never place a large order only from photos. Ask the supplier for a sample piece and test it yourself. At DJ Home Textiles, a sample piece is available on request. Ask us for the fabric details and a sample before you decide.

4. Check the sample carefully

Once you have the sample, look at these points:

  • Stitching and hems: are the edges stitched straight and firmly? Loose hems open up quickly with repeated washing.
  • Colour fastness: for coloured sheets, does the colour run in the first wash?
  • Shrinkage: measure the sheet before and after the first wash. Does it still fit your mattress?
  • Feel: is it comfortable for guests or patients to sleep on?
  • Repeated washing: if you can, wash the sample several times the way your laundry normally does, and see how it holds up.

5. Why many places choose plain white

Most hotels and hospitals use plain white linen, and there are good reasons:

  • It is easy to match. A white sheet from one batch looks like one from the next.
  • Stains are easy to see, so you know when a sheet needs extra care.
  • It looks clean and neat in any room.
  • White linen is often bleach-friendly, but this depends on the fabric, so always confirm washing and bleaching with the supplier.

6. Plan for lead time, invoice and packing

Bulk orders take time to prepare. Plan ahead so you are not short before a busy season or an inspection.

Point to confirm Why it matters
Lead time So stock arrives before you need it
Minimum order Our bulk orders start at 100 pieces
GST invoice For your accounts and input credit
Packing Bundled by size makes storage and counting easier
Delivery Where and when it reaches your property

Ask how the sheets will be packed. Bundles sorted and labelled by size save your staff a lot of time when stocking the linen room.

7. Keep a simple linen record

After delivery, keep a basic register: how many sheets of each size you received, how many are in use and how many are damaged or lost. This helps you reorder on time and spot problems early, such as sheets going missing or wearing out faster than expected.
